Interview prep for office and administrative roles

Office employers are hiring someone they can trust with their calendar, their customers and their records. Interviews test how you communicate as much as what you know.

What interviewers look for

  • Clear communication. On the phone, in email and in person.
  • Accuracy. Getting names, numbers and dates right without being checked.
  • Software skills. Email and calendar tools, spreadsheets, and any system the role depends on.
  • Judgment and discretion. Knowing what to handle, what to escalate and what to keep private.

Questions you are likely to hear

  • How do you prioritize when everything is urgent? Describe how you decide, who you check with, and how you keep people informed.
  • Tell me about a difficult customer or coworker. Focus on how you stayed calm and what you did to resolve it.
  • What software are you comfortable with? Be specific and honest about your level. Expect a short skills test.
  • How do you handle confidential information? Explain the habits you follow, such as not discussing it and locking your screen.
  • Describe a mistake you caught and fixed. Show that you notice errors and own them.

Preparing for a skills check

Many office roles include a short test on typing speed, spreadsheets or written communication. Practise the basics beforehand: formulas you actually use, formatting a document cleanly, and writing a professional email without typos.

What to bring

Several copies of your resume, a list of references, photo ID, and a notebook. Dress one step above the workplace norm. For remote roles, test your camera, microphone and internet connection before the call.

Questions worth asking

  • What would a successful first three months look like?
  • Which systems and tools will I use every day?
  • Is the role in the office, remote or hybrid?
  • Is the position permanent, or is it temporary cover?

After the interview

Send a short thank-you email the same day, mentioning something specific from the conversation. Follow up once if you have not heard back by the date they gave you.
